Attach financial information to people, rooms, and venues in order to keep track of budget and any expenses or incoming money.

Introduction

Financial documents can easily be attached to venues, people and schedules allowing you to add receipts, invoices, and any other financial documents

Process Overview: Venues.

To better monitor spending financial papers, such as receipts and invoices, can easily be added to venues. Receipts from venue expenses such as room rentals, can easily be added by selecting the venue as shown above, once the venue has been selected the screen will appear as shown below.

Select to add the appropriate financial information.

  1. Amount: The amount of the income or expense being filed.
  2. Currency: The currency of the expense.
  3. Exchange Rate: The exchange rate of the cost if the currency differs from your local currency.
  4. Account/Category: The account or category this expense falls under. For example, “Room Rental” or “AV Equipment”.
  5. Vendor/Description: The name of the vendor to which the payment went to or a description of the income/expense. For example “Wifi Rental Fee”, or “Ticket Sales Income.”
  6. Due By: The date at which you need to make or receive a payment.

Save Changes Always remember to save your changes.

Process Overview: People

You may need to add financial information about specific individuals here, if your organization needs to pay a speaker fee, or if someone has a “pay later” ticket and still owes a payment.

Select to add the appropriate financial information.

Adding financial information to scheduled sessions can help you monitor income such as ticket sales, and expenses such as room rentals or speaker fees. Select the session for which you would like to add the income or expense to, then click the finance table and select

  1. Amount: The amount of the income or expense being filed.
  2. Currency: The currency of the expense.
  3. Exchange Rate: The exchange rate of the cost if the currency differs from your local currency.
  4. Account/Category: The account or category this expense falls under. For example, “Room Rental” or “AV Equipment”.
  5. Vendor/Description: The name of the vendor “Speaker Fee”, or “Ticket Sales Income.”
  6. Due By: The date at which you need to make or receive a payment.
