Attach financial information to people, rooms, and venues in order to keep track of budget and any expenses or incoming money.

Introduction

Financial documents can easily be attached to venues, people and schedules allowing you to add receipts, invoices, and any other financial documents

Process Overview: Venues.

To add financial papers to a venue and more specifilcally to a room, follow these steps:

Step 1: From the venue list (1) , select the venue you want to attach the financial paper to.

Step 2: From the room list (2), select the room to which the financial paper (expense) belongs to.

Step 3: Scroll to the bottom of the screen if you have many entries in your rooms list. You will find another table. Select the Finance tab (3).

Step 4: Click on (4). A screen called “Entre Amount” will pop up.


  1. Amount: The amount of the income or expense being filed.
  2. Currency: The currency of the expense.
  3. Exchange Rate: The exchange rate of the cost if the currency differs from your local currency.
  4. Account/Category: The account or category this expense falls under. For example, “Room Rental” or “AV Equipment”.
  5. Vendor/Description: The name of the vendor to which the payment went to or a description of the income/expense. For example “Wifi Rental Fee”, or “Ticket Sales Income.”
  6. Due By: The date at which you need to make or receive a payment.

Fill the fields with the appropriate financial information. Click .

You have now added financial information to a venue!

Process Overview: People

You may need to add financial information about specific individuals if your organization needs to pay a speaker fee, or if someone has a “pay later” ticket and still owes a payment.

To add financial inforamtion to a person’s file, follow these steps:

Step 1: Select the person you need by clicking on their name in the people table. A side screen will pop up.

Step 2: Click on the Finance tab.

Step 3: Click on . Fill in the “Enter Amount” screen.

Adding financial information to scheduled sessions can help you monitor income such as ticket sales, and expenses such as room rentals or speaker fees. Select the session for which you would like to add the income or expense to, then click the finance table and select .

To add financial inforamation to a session, follow these steps:

Step 1: Select the session you need by clicking on its name in the schedule table. A side screen will pop up.

Step 2: Click on the Finance tab.
